The NWGS Flex Convenience Card system allows employees to directly access Flexible Spending Account (FSA) and other pre-tax account funds as transit, dependent care reimbursement plans. This system provides significant benefits for everyone involved in the program: we process claims more efficiently, employers decrease their payroll tax burdens while offering an attractive new benefit to their employees, and employees are able to take advantage of their pre-tax accounts without the traditional hassles of claim forms and double out of pocket expenses.

The Benefit Card looks like a typical credit or debit card, and is issued under the MasterCard or Visa system, but is only accepted at specific types of merchant or provided locations as defined by merchants category codes ("MCCs"). This ensures that employees are only able to pay for eligible expenses wherever MasterCard or Visa are accepted-from physician and dental offices to pharmacies and vision service locations.

The Benefit Card now includes functionality to allow online enrollment.

Flex Benefits Processing

Data Requirements

We require the employee’s name, Social Security Number, address and election amounts for the various Section 125 and 132(f) accounts. If an employee wishes to use direct-deposit, they need to fill out the appropriate form showing their banking or savings account and routing number.

Monitoring Account Balances

For health flexible spending account claims, we will pay up to the maximum the employee has elected for the year as allowed by the IRS code. For dependent care claims, we pay up to the amount the employee has in his or her account; any remaining amount is held as pending until additional funds are deposited. When the next deposit from payroll is received, we will automatically pay out any pending amount.

Discrimination Testing

Upon request, NWGS will provide discrimination testing. We recommend testing once a year at the beginning of the plan year.
